Email
We maintain an internal email list of all persons who have had email correspondence with our organization, filled out forms/fields on our web properties, enrolled on our programs or otherwise provided ConservationVIP® with their email address.

We may use this list to send updates, promotions and announcements regarding our trips, as well as to solicit donations to support our nonprofit-related activities.

You are never under any obligation to remain on the email list and can remove your email address from the list at any time by clicking “unsubscribe” at the bottom of any email, or sending an email to info@conservationvip.org with the subject line Unsubscribe from ConservationVIP and specify that you’d like to have your email removed from our list.

If you’d like to remain in our email database but would prefer to online receive specific kinds of emails (for example, emails from our travel coordination team on your upcoming trip), please email info@conservationvip.org with the subject line Unsubscribe and simply specify the kinds of emails you’d like to receive or not receive.

Phone/Text
Persons who supply us with their phone numbers online will only receive phone contact from us regarding information or resources they have requested online, such as details about ConservationVIP’s conservation trips and the enrollment process.

If you provide us with your phone number online by form, or offline, you may receive phone calls and/or text messages from our representatives about the information you have requested.

If you would no longer like to receive phone calls  or text messages from us, you may let the ConservationVIP representative on the phone know or send an email to info@conservationvip.org with the subject line Unsubscribe. In the email, please note whether you’d like to be removed from our calling list, our text message list, or both. We will be sure your phone number is removed from our calling/texting list upon receipt.

If you supply us with your postal address by phone, you may receive periodic mailings from us with information on updates and announcements. If you do not wish to receive such mailings, please let us know by sending a request to  info@conservationvip.org  with the subject line Unsubscribe. Please provide us with your first name, last name and address. We will be sure your address is removed from our mailing list.

Any other data you supply Conservation Volunteers International Program, such as your name or your travel interests, may be used to provide you with information on our programs, content related to our program offerings and details regarding travel to/preparation for your program or trip.

If you would like to opt out of keeping any specific piece of information on our database or contact lists, please email info@conservationvip.org with the subject line Unsubscribe, and simply specify which data you’d like us to remove. You may also request removal of all personal data from our database or contact lists using the same method and stating that your request for all personal data to be removed.

How we share information

The email list we maintain is for internal use only and will not be sold or conveyed to any party outside Conservation Volunteers International Program.

Furthermore, while we may use tools or software or social media platforms from third party companies, we do not exchange email lists or other sensitive information with any other company. If you choose to use these third party features or functions, you may be asked to create an account with a third party provider, and by doing so, agree to the privacy policy of that third party.

With respect to ad servers, we do not partner with or have special relationships with any ad server companies. We will only share email addresses as required by law.

We do not share any personal information about our travelers with anyone external to ConservationVIP® and its program partners, unless required by law.

Recipients for our stored data primarily include staff and third parties bound by partnership or service agreements, such as our web development/server provider. Third parties, such as public authorities, vendors or those not conducting regular activities with ConservationVIP®, will be limited in which data they have access to, as determined by our staff, with the highest priority given to privacy protection for user data in all cases unless compelled by law.

Data is primarily stored in the United States. However, given the international scope of our organization, data may be transferred abroad, including into and out of the United States and the European Economic Area. Protections are in place to ensure security for all data transfers. Information on protection for data transfers is outlined in the ‘How We Protect Information’ section below.

How We Protect Information

We have appropriate security measures in place to protect against the loss, misuse or alteration of information that we have collected from you. Confidential information is kept in locked files or electronic files that are password protected and whose access rights are restricted to only those ConservationVIP® staff members who have a need to know.

The ConservationVIP® website and portal utilize the HTTPS protocol for secure communications, and all of our online systems and external platforms dealing with sensitive data are password protected.

Confidential Information
Any confidential financial information which may be collected on our website is sent using the Internet security protocol known as “Secure Sockets Layer” or “SSL.” This is a certification and encryption technology designed to make your credit card use as safe as possible. No one at ConservationVIP® has access to your entire credit card number, only the last four digits for identification purposes.

All other confidential information, such as medical forms, are secured through password-only access for approved users only.

Data Retention
Because ConservationVIP® travelers and their family members may travel with us more than once, ConservationVIP® retains personal information on past travelers and related persons in perpetuity. Given the nature of our international travel program offerings, certain sensitive information must be kept on-file indefinitely to ensure the safety and wellbeing of our travelers, staff and local partners. This information is therefore retained in detailed travel/program logs in our database in the event such information is required for access and review at a later date.

Former Trip Participants

We do not share personal information about our former travelers with anyone, unless explicitly agreed upon by the traveler. An exception to this policy would be information disclosures required by law, e.g. a subpoena.

We do not share information about our former travelers with companies outside of our organization that may use the information for their own marketing purposes.

We may use pixels, cookies and other tracking technologies to help us provide customized ads and messages to our audience, based on how you entered or interacted with our website.

ConservationVIP® and our third party providers may use cookies, pixels, JavaScript, local storage, log files, and other methods to automatically collect and log information about your activities on our website and across third party sites or online services connected to our web properties. We may use this information to best serve customized ads, pop-ups and other communications to visitors; however, ConservationVIP® will never sell or otherwise share this data with outside parties.

Cookies

Pixels
We may use pixels to identify and track visitors to our website, similar to the use of cookies. Pixels, like cookies, allow us to personalize ads and other content, and to determine which actions visitors have taken on our website, in our emails, and related platforms.

Tracking
ConservationVIP® may use third party software to track views, clicks, conversion and other engagement metrics of our users, particularly through platforms such as Google Analytics and Google AdWords, among others. All user engagement tracking and related monitoring are consistent with best practices in the industry and any information acquired is used for proprietary purposes only.

If you would like to know exactly what personal information ConservationVIP has collected about you, we will be happy to share it with you. This includes transaction information (e.g., dates on which you made payments, amounts and types of payments), communications that you have directed to our site (e.g., emails, customer inquiries, etc.), and contact information (e.g., name, address, phone number).
